Overview
PREP is a web-based platform that uses artificial intelligence to quickly convert documents like PDF files, Word files, and PowerPoint presentations into accessible formats. It is used to meet compliance standards like WCAG, PDF UA, and Section 508. PREP automates much of the PDF remediation process, tagging up to 90 percent of document structures like tables, lists, and headings. Users can review AI-generated tags, run an accessibility checker, and produce fully accessible PDF files.
Since PREP is browser-based, it is accessible from any computer or mobile device with an internet connection, but it performs best in Chrome, Firefox, and Opera browsers.
PREP has a new dashboard environment available via Virginia Tech single sign-on (SSO). This updated platform includes four service options:
PREP PDF Remediation Self-Service Platform: This service enables users with assigned licenses to self-remediate their documents. Below are key details regarding access and licensing:
License Usage Policy: Licensed users who have not accessed the platform within the past 3 months will have their license returned to the pool, allowing others to request access. These users can still utilize the other three service-model cards and may request a license again if needed.
Deactivation Notice: Users set to have their licenses deactivated will have 24 hours to download all their remediated materials before access is fully revoked. To request additional time for downloading materials, please contact helen2@vt.edu.
For New Users: This service card will initially be inactive. To gain access, new users must request access via the link on the card. The TLOS admin will review license availability before approving.
AI-Powered Remediation: This advanced tool remediates text-based PDF files. Note that this platform is not effective for documents with tables, complex charts, images, handwritten content, and mathematical equations or formulas. Once a user uploads and submits their PDF, the process takes approximately 2-3 minutes, and then the user can download their remediated file.
Assigned PDF Remediation: This service is for users with pre-approved TLOS-assigned PDF remediation credits. Users interested in this service start by requesting a TLOS consultation. After obtaining approval for TLOS-funded remediation, users can submit a complex PDF file for remediation by the vendor, Continual Engine. The remediated file will then be returned to the user via email.
Fee-Based Remediation Services
Submission for Quote: Users can submit PDF files to Continual Engine to receive an emailed quote within 1-2 business days, depending on the complexity of the PDF files.
Approval Process: After receiving the quote, users must obtain approval from their department or college fund through HokieMart.
Purchase Order/Transaction ID: Once approved, users will receive a purchase order number or transaction ID from their department's fiscal agent. This information must be sent to Continual Engine via reply to the emailed quote to authorize the remediation.
Document Remediation & Invoicing: Continual Engine will remediate the documents and return the files to the requester via email. Upon completion, an invoice with the purchase order number will be issued to the requesting department.

How to Access
Instructor:
New users must request access by completing the Google PREP Sign-up form (also selectable from the first card on the PREP PDF Remediation Self-Service Platform).
After you request access to PREP, Accessible Technologies will generate your custom invitation link with login credentials within 2 business days.
After receiving your login details and gaining access to the PREP self-remediation platform, select the PREP VT Single Sign-on link. Then, choose the first card to initiate your self-remediation process.
