Update: Migration of Kaltura videos

A key step in the university’s adoption of the Panopto video content management system — the migration of videos stored in Kaltura or a Canvas My Media space through March 31, 2026 — has been completed. Owners of these videos will now see a copy of their files in their Panopto “My Folder > Kaltura migrations” folder. Every effort was made to move all video content stored in Kaltura to Panopto. A small number of older, unplayed videos and incompatible or corrupted files were not migrated. See “What should I do now that my Kaltura videos are migrated to Panopto?” below for more information.

To meet the evolving needs of faculty, staff, and students, Virginia Tech has selected Panopto as the university’s new video content management system (VCMS). Panopto, which will replace Kaltura in 2026, will provide interactive video, lecture capture, streaming media, mobile compatibility, video storage, and integration with other Virginia Tech tools like Canvas and Zoom. Enhanced features include audio descriptions, a video analytics dashboard, and customizable system settings.

The decision to discontinue the Kaltura contract and move to Panopto was made after a 6-month evaluation of currently available video content management systems. The evaluation project, co-sponsored by Technology-enhanced Learning and Online Strategies (TLOS) and the Division of Information Technology, gathered input from faculty, staff, distributed IT professionals, and senior leaders, including current Panopto users in the Virginia Tech Carilion School of Medicine. Selecting Panopto allows Virginia Tech to have a unified video content management system across all colleges and administrative units.

TLOS is partnering with the Division of IT’s Learning Systems team to transition from Kaltura to Panopto. TLOS will provide end-user support, training, and documentation for Panopto, while IT will manage the system configuration, provide technical support, and oversee content migration and data retention policies.

Timeline for Implementation

Panopto will be available in early 2026 for use in training and to facilitate the transition from Kaltura. All video content stored in Kaltura will be migrated to Panopto, and videos embedded in Canvas course sites will be relinked. Kaltura, the existing VCMS, will remain available through the end of the spring semester in May 2026.

The following timeline will be updated as the implementation progresses:

  • October 31, 2025 — Contract signed. 

  • December 19, 2025 — Announcement of Panopto to the university community.

  • November 2025 through January 2026 — Platform configuration, including single sign-on (SSO), user permissions, system settings, and third-party integrations.

  • January 2026 — Content migration begins.1

  • February 9, 2026 — Faculty and staff access begins using SSO.2

    • Users will not see their migrated Kaltura videos until the initial migration process is complete. TLOS will notify the university community when migrated content becomes available.

  • Early Spring Semester 2026 — Panopto training workshops start.
  • May 17, 2026 — Kaltura transitions to read-only.

  • May 17 to June 30, 2026 — All users are encouraged to review their video content in Panopto to ensure their videos created through December 31, 2025, have migrated successfully.3

  • May 18, 2026 — Migration of videos created from January 1 through May 17, 2026, begins.

  • Summer Sessions 2026 — All Canvas courses will use Panopto. 

  • June 30, 2026 — Last day to access Kaltura videos.

  • July 1, 2026 — Transition to Panopto completed.

General Questions

  • Your videos stored in Kaltura at video.vt.edu or in your Canvas My Media space will continue to use Kaltura through the end of the spring semester 2026. Your existing videos will be migrated to Panopto in the background before June 30, 2026. Links to Kaltura videos in Canvas sites will be replaced with links to new Panopto versions of the videos. In most cases, no action will be needed on your part. In the following cases, you will need to review your videos:

    • Videos that had custom thumbnail images will need to be reset.

    • Video quizzes will need to be rebuilt using Panopto.

    • For tagged videos, tags are limited to 32 characters, and only the first 10 tags will be migrated.

    • Playlists may need to be rebuilt.

    • While every effort will be made to relink all migrated Canvas videos, some videos may need to be manually relinked.

  • Beginning in spring 2026, if you are preparing 2026 summer courses, you will use Panopto for video content in your Canvas course sites. 

  • Starting May 17 through June 30, 2026, review your video content in Panopto to ensure that your videos have migrated successfully.

    • In order to stay within contractual storage limits in Panopto, a small number of unplayed videos from 2022 or earlier, that have not been published to a Canvas course or a video.vt.edu channel or collection, will be retained outside of Panopto until June 30, 2027. These videos will not appear in your Panopto videos list, but they can be added to your Panopto account by a TLOS employee upon request.

  • Watch for communications from TLOS in spring 2026 asking you to confirm that any linked videos that will be used after June 30, 2026, are playing correctly in Canvas.

  • If you manage digital content that links to Kaltura videos, you will need to update links to new Panopto versions of those videos on websites, digital documents, or other content management systems. Watch for communications from TLOS in spring 2026 that will let you know when all your videos have been migrated to Panopto.

  • All of your videos stored in Kaltura, either at video.vt.edu or in your Canvas My Media space, will be migrated to Panopto.

    • In order to stay within contractual storage limits in Panopto, a small number of unplayed videos from 2022 or earlier, that have not been published to a Canvas course or a video.vt.edu channel or collection, will be retained outside of Panopto until June 30, 2027. These videos will not appear in your Panopto videos list, but they can be added to your Panopto account by a TLOS employee upon request.

  • A very small percentage of files may be corrupted or in an unsupported format and will not be migrated. Every effort will be made to migrate all video content stored in Kaltura.

  • On February 9, 20261, you can activate your Panopto account. TLOS will communicate the availability of Panopto to the campus community.

  • Faculty preparing 2026 summer courses will use Panopto to share videos in Canvas course sites.

  • On May 17, 2026, Kaltura will transition to read-only, and all users will need to begin using Panopto.

Panopto is committed to providing an accessible learning experience. 

  • All videos in Panopto receive automated captions. You can edit the automated captions or request professional/human-based captions.

    • Videos for instruction are eligible for 99% accurate professional captions at no cost to you. Videos that do not qualify for the centralized captioning service can still be professionally captioned at the rates listed in 4Help.

  • In addition to captions, you can also add audio descriptions to your videos that provide narration of visual elements.

  • The Panopto platform supports alt text for images and interactive elements.

No, Panopto is not approved for storing high-risk data. Panopto is approved for low- and medium-risk data storage. 

 

Note: A small number of users may have high-risk videos among their migrated files, since Kaltura was acquired before the current risk classification review process was adopted. These videos containing high-risk data must be removed. It is your responsibility to determine the risk classification of your files and how they can be securely stored. Consult the Risk Classification Standard, the IT Security Office (ITSO), your designated data steward/principal investigator, or IT team members for clarification on the risk classification of your files and how to securely store high-risk videos.

What should you do before June 30, 2026?

Faculty and Staff

You should log in to Panopto using your Virginia Tech username and passphrase at virginiatech.hosted.panopto.com and confirm your videos have been moved. Only a your “owned” videos will be visible in the “Kaltura migrations” folder. If you use Canvas, you can also access your videos by selecting the Panopto Video icon in the Canvas global navigation menu.

 

Students

You will access Panopto through Canvas by selecting the Panopto Video icon in the Canvas global navigation menu.

 

Where are my Kaltura videos created on April 1, 2026, or after?

Videos created from April 1, 2026, through May 17, 2026, will be migrated after Kaltura transitions to read-only status on May 18, 2026. TLOS will alert users when this migration is completed.

 

Some of my Kaltura videos aren’t in my Panopto “My Folder.” What should I do?

Only videos owned by you were moved to your Panopto “My Folder” during the migration. Check your Kaltura list to see whether the missing videos have been shared with you. If you are designated as a co-editor, co-publisher, or co-viewer, the video was migrated to the owner’s Panopto account. You will need to contact the video owner to regain access to these videos. If the missing video was not shared, see “What should users do if an important video is missing?” below. 

 

Where are my Kaltura videos that were shared with me?

Only videos owned by you were moved to your Panopto “My Folder” during the migration. Videos where you are designated as a co-editor, co-publisher, or co-viewer were migrated to their owner’s account. You will need to contact the video owner to regain access to these videos.

 

What should I do if an important video is missing?

If the missing video was created and stored in Kaltura or a Canvas My Media space by March 31, 2026, submit a 4Help incident with the video's name and the Kaltura URL. Videos created and stored on or after April 1, 2026, will not appear in Panopto until the final migration is completed in late May.

 

When should I begin updating links to Kaltura embedded or linked videos to point to Panopto files? 

Kaltura videos embedded or linked in Canvas courses will be relinked as part of the migration process. Video owners will be notified when the relinking process is completed. Please note that in places such as Canvas Pages, where videos are relinked, instructors may notice that there are edits made by the “Panopto Linking Tool,” our relinking tool.

 

A similar process to relink videos embedded in the Ensemble web content management system is being implemented. Ensemble content managers will be notified when the relinking process is completed.

 

If you manage other digital content, such as  on websites, digital documents, or other content management systems, that embeds or links to Kaltura videos, you will need to update these links to point to the new Panopto versions of those videos. This work can begin as soon as users see the migrated videos in Panopto.

 

What should instructors teaching during Summer Session 2026 do?

All Summer Session 2026 Canvas courses will use Panopto for video content. 

 

TLOS prioritized the relinking process for 2024 and 2025 summer courses with embedded or linked videos. These courses are ready to be copied.

 

What’s next?

As with all transitions to new tools, some workflows will change as the move to Panopto is completed. While Panopto has proven to be an intuitive platform, some questions remain unanswered. For example, TLOS is working to clarify how migrated playlists are assigned to users, and how faculty can replace the “course gallery” workflow in Panopto. This page and the Using Panopto at Virginia Tech article will be updated as guidance on these topics is developed.
