Video Conferencing Room Services

TLOS offers a complete video conferencing solution from consultation, to equipment ordering and installation. If you want to design or re-design a custom video conferencing room, huddle space, or virtual classroom, our team of experts will tailor their support to your department’s needs.

What are the features or benefits?

Zoom video conferencing rooms include:

  • Zoom Room license (billed annually)
  • Zoom control panel
  • Camera
  • Microphone
  • Monitor

Custom video conferencing rooms can include: 

  • Room-based calendaring
  • Remote-control cameras
  • Speaker-tracking cameras
  • Precision microphones
  • Lapel microphones
  • Wall-mounted monitors with custom display settings for speaker, audience, and presentation content
  • Wireless presentation capability

Departments can select the level of support they need including requesting a list of compatible hardware, assistance with equipment orders, complete installation, or ongoing maintenance and support. 

Who can use this service?

Virginia Tech faculty and staff for university-owned or rented spaces.

Service Request Options

TLOS provides three levels of videoconferencing room services. 

Level 1 - Consultation*

  • Zoom Room software license and updates (Required)
    Description: Zoom Room software is required for all Zoom rooms.
    Cost: $350/year
  • Video conferencing consultation
    Description: Review of requirements, tour of space, advice on room design and hardware, advice on room setup and calendaring.
    Cost: No Charge
  • Zoom Room server and software configuration
    Description: Software configuration is required for all Zoom rooms.
    Cost: No Charge

*At this level of service, departments design their rooms, and purchase and install their own Zoom Room hardware. Hardware includes the Zoom Room control panel, cameras, microphones, monitors, etc.

Level 2 - Design and Installation

Includes all of the above plus

  • Room Design
    Description: After a video conferencing consultation, TLOS creates a list of hardware options and pricing based on departmental needs.
    Cost: Negotiated during consultation
  • Hardware ordering (optional)
    Description: TLOS can optionally order and receive hardware for departments. Departments are responsible for hardware costs.
    Cost: Negotiated during consultation
  • Hardware installation
    Description: TLOS installs control panel, wall-mounted monitors, microphones, and wiring, cameras, etc. Installation typically takes one week.
    Cost: Negotiated during consultation

Level 3 - Support**

  • Support and maintenance
    Description: TLOS supports video conferencing room hardware and software, issues updates, and resolves any technical issues.
    Cost: Negotiated during consultation

**Only available in rooms where TLOS installed the hardware.
